CRM SETUP
Done-for-you CRM setup for service businesses, so every lead gets captured and every follow-up gets sent. Built in Pocatello, works with whatever CRM you run.
Where the follow-up actually breaks down
Owners do not usually come to me without a CRM. They come with one they bought 2 years ago, set up halfway, and quietly abandoned by everyone except the person who pays for it. I have been inside those accounts: hundreds of contacts stuck in workflows nobody remembers building, tags that mean nothing, follow-up that fired twice and quit.
The software did what software does. What was missing was the system around it: who gets told when a lead lands, what goes out in the first 5 minutes, what happens on day 3 when nobody answered. Without that, leads get captured and then sit there. Sitting there is where they die.
What CRM setup actually is
CRM setup, the way Strategy Zoo does it, is a build. We set up the system for you: the pipeline, the automations that answer first, the follow-up that goes out every time, the tags that mean something. Not a login and a training video.
The rule underneath the build is simple, because I have seen what over-automation does to a business: build the simplest system that makes sure opportunities don’t disappear. If a workflow does not protect an opportunity or save you real time, it does not get built.
I am not married to one platform. I have built these systems inside several CRMs, and the right answer is usually the one you already pay for. If you do not have one yet, we pick the one that fits the business.
The follow-up half of the Lead Engine
If you have read our lead generation strategy page, this is stages 2 through 4 made real: Capture, Nurture, Convert. Here is what the engine looks like in practice. A lead comes in from anywhere, the website form, a phone call, a Facebook message, a referral, and lands in one place instead of somebody’s inbox. The first response goes out fast, automatically, while the lead is still warm. The ones who are not ready yet get followed up with every time, on a schedule, without anyone having to remember. And when they are ready, booking a time with you is one click, not a week of phone tag.
What gets built
The setup and configuration of the CRM itself. The pipeline, so every open opportunity is visible instead of living in your head. The automations: first response, follow-up sequence, appointment reminders, and the notification that tells a human when a hot lead just moved. Training, so your people actually use the thing. And testing with real leads before we call it done.
If you are in the Foundation Accelerator, you have seen this from the inside, because building these automations is part of that work. CRM setup is the same build, offered on its own.
How the build goes
It starts with a 30-minute call, on Google Meet, or in person if you’re local. Bring the CRM you have, even if it is a mess. Especially if it is a mess. We look at how leads reach you today and where they go quiet. Then I scope the build, we agree on what gets built first, and I get inside the account and build it. You see it work on real leads before we are done, and your team gets trained on exactly what was built, not a generic tutorial.
Questions owners ask about CRM setup
Do I need a specific CRM platform?
No. I have built inside several, and the system matters more than the software. If you already pay for one, we probably build there. If you have nothing, picking one is the first 20 minutes of the work, not a reason to wait.
We already have a CRM and nobody uses it. Now what?
That is the most common starting point I see, and it is usually a setup problem, not a software problem. When the pipeline matches how you actually sell and the automations do the remembering, using it stops being a chore. Sometimes we keep your CRM and rebuild the inside. Sometimes the honest answer is to move. I will tell you which.
How long does CRM setup take?
Scope decides. A capture-and-follow-up build is measured in days. A full pipeline with automations and training runs longer. You get a real timeline in the scoping call, and the build does not drag, because a half-live system is worse than no system.
What does CRM setup cost?
It is scoped to what needs building, so the honest answer comes after I have seen your CRM, not before. A simple capture-and-follow-up build sits at one end, and a full pipeline-and-automation build at the other. The call is where you get a real number instead of a range I made up for a website.
Will automation make us sound like robots?
Only if it is built that way. The messages that go out are written in your voice, and the automation handles timing, not personality. The goal is follow-up that sounds like you on your best day, including the days you are slammed.
Ready to stop losing leads?
Book a call. We scope your build, and you leave knowing exactly what needs to exist, whether we build it or not. Prefer to ask something first? Send it through the contact page and I will answer.
The rest of the offer ladder is on the services page.
